This guide explains PrMail's built-in folders, how to add your own, and how to use email rules to sort incoming mail.
Built-in folders
Every mailbox has six system folders. They can't be renamed or deleted.
- Inbox: new mail arrives here.
- Drafts: draft messages. Webmail doesn't save drafts yet, so this is usually empty.
- Sent: a copy of every email you send.
- Spam: junk mail, plus anything you mark with the Spam button.
- Trash: messages you've deleted. Deleting a message from Trash removes it permanently. Trash can also be emptied automatically (see below).
- Archive: messages you want to keep out of your inbox. Use the Archive button on a message, or tick several messages and click Archive.
To get a message out of Spam, open it and click Archive.
Create a custom folder
- In the PrMail panel, click New folder under your folder list.
- Type a name of up to 50 characters. Use letters, numbers, spaces, hyphens and underscores only.
- Click Add. The folder appears in the list straight away.
At the moment, webmail has no "move to folder" option for individual messages. Custom folders are filled by email rules, so create a rule for each folder you want to use.
Delete a custom folder
- Hover over the folder in the PrMail panel.
- Click the × that appears and confirm.
Before you delete: archive any messages in the folder that you want to keep. Don't rely on them being moved anywhere for you.
Sort mail automatically with rules
- Go to PrMail › Settings and scroll to Email Rules.
- Click + New Rule.
- Give the rule a Rule name, for example "Newsletters".
- Under When, choose what to check: From (sender), Subject, To (recipient) or Any field.
- Under Match type, choose Contains, Equals exactly, Starts with or Ends with.
- In Value, enter the text to look for, for example
newsletter@. - Under Action, choose Move to folder, Flag/star, Mark as read or Delete. For Move to folder, type the folder name exactly as it appears in your folder list.
- Click Create Rule.
Your rules are listed under Email Rules. Use Disable to switch one off without losing it, Enable to switch it back on, or Delete to remove it.
Automatic clean-up of Trash and Spam
By default, PrMail clears messages from Trash after 30 days and from Spam after 14 days. You can change the timings in PrMail › Settings under Profile & Signature. See Display Name, Signature, and Settings.
